Sappi SA Finance Shared Service based at Umhlanga Rocks, requires a Receptionist and Administrator to perform secretarial duties to the General Manager – Finance Shared Services and provide professional frontline telephone, and administrative support to ensure that the GBS reception service is administered effectively and efficiently

 Location: Umhlanga, KwaZulu-Natal 

This role reports to the: General Manager Finance – Shared Services

Minimum Requirements:

  • Matric/Grade 12
  • 2 or more years’ Switchboard, Reception and Secretarial/Administrative experience
  • Intermediate MS Office skills
  • Basic SAP/R3 experience preferred
  • An Office Administration/Management Diploma will be advantageous 

Key Responsibilities:

Perform secretarial duties for the General Manager. Finance – Shared Services. Answer all incoming calls and assist with enquiries or redirect accordingly. Take and deliver messages accurately. Keep the reception area neat and tidy. Welcome visitors and contractors in a friendly and professional manner, determine the nature of their visit and assist them with finding their way around the office . Monitor and maintain visitor access and security awareness

Prepare and book meeting rooms for meetings and monitor their usage. Keep up to date with staff movements and maintain a movement schedule. Receive, sort and distribute mail and other deliveries. Arrange and manage courier services and keep a daily and weekly register of deliveries and collections. Develop and maintain good working relationships to provide a collaborative service

Generate and submit monthly telephone reports to the General Manager Finance – Shared Services.

Update the list of employees and distribute to all monthly. Keep an up-to-date list of emergency and important contact details. Be the point of contact between GBS and the landlord regarding building-related matters. Log calls, redirect and escalate telephone and other related faults to appropriate departments. Perform other ad-hoc duties as assigned by management
